Yearbook sales dates are configured inside Sales > Sales Setup. Here’s what to know:
- YOC (Yearbook Order Center) is the parent-facing website where yearbooks are purchased online.
- Sales Plan Enrollment: This controls how and where you sell yearbooks and ads. Your Varsity rep will guide you on the right plan for you.
- Set open and close dates: Under Yearbook Sales Controls, enter the date you want online sales to open and the date you want them to close. A visual indicator above the dates shows whether sales are currently live. Sale dates must be current and packages must be active in order for sales to be live.
- Close sales based on quantity sold: Enter a number of yearbooks — eDesign will automatically stop online sales when that threshold is approached.
- TIP: Build in a small buffer (e.g., enter 195 if you ordered 200) since orders already in a shopping cart can still complete at checkout.
- Emergency shutdown options:
- Backdate your sales end date to immediately stop all online sales.
- Go to Items and Packages and uncheck the YOC box for specific items to remove them from sale instantly.
